KapStone (Pty) Ltd ("KapStone", "we", "our", or "us") operates a family of business software products for South African companies: GreenTrack (project management for landscaping businesses), Pay123 (quoting, invoicing, and statements), and ScreenSolve. This Privacy Policy applies to kapstone.app and to each of these products, however you access them.
By using any of our services, you agree to the collection and use of information in accordance with this policy.
We collect information you provide directly to us, including:
We also collect certain information automatically when you use our services:
GreenTrack, Pay123, and ScreenSolve share a single sign-on system — your GreenTrack ID. If you have an account on one of these products, the same email and password work to sign in to the others. Your login credentials are shared across products in this way, but your business data is not: each product keeps its own separate records, and a company account you set up in one product does not automatically give you access to data in another.
We use the information we collect to:
We do not sell, rent, or trade your personal information to third parties for marketing purposes.
Your data is stored using Supabase, a database and authentication platform that is SOC 2 Type II compliant and ISO 27001 certified. All data is encrypted at rest (AES-256) and in transit (TLS). Our applications are hosted on Vercel.
Every company's records are isolated from every other company's records at the database level, using row-level security rules tied to your specific company account. This means the database itself — not just our application code — enforces that one customer's financial and business data cannot be read by another customer.
For more detail on how we protect your data, see our Security page.
While we take reasonable precautions, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security but are committed to protecting your data to the best of our ability.
We retain your personal information for as long as your account is active or as needed to provide our services. If you close your account or request deletion, we will remove your personal data within 30 days, unless we are required to retain it by law.
We may share your information with trusted third-party service providers who assist us in operating our platforms, including:
These providers are contractually obligated to keep your information confidential and may not use it for any purpose other than providing services to us.
We may also disclose your information if required to do so by law or in response to valid legal process.
This policy is intended to align with the South African Protection of Personal Information Act (POPIA). Wherever you are based, you have the right to:
To exercise any of these rights, please contact us at hello@kapstone.app. We will respond within a reasonable timeframe.
Our products use cookies to keep you logged in and remember your preferences. You can disable cookies in your browser settings, but this may affect the functionality of certain features.
Our services are intended for business use and are not directed at individuals under the age of 18. We do not knowingly collect personal information from minors.
We may update this Privacy Policy from time to time. We will notify you of significant changes by email or by posting a notice on our website. Your continued use of our products after changes are posted constitutes your acceptance of the updated policy.
